Polaris Drafting (“Polaris Drafting,” “we,” “us,” or “our”) operates polarisdrafting.com and provides HVAC drafting and coordination services. This Privacy Policy explains how information is handled when you use the website, contact us, or request a quote.

Information You Provide

The quote form may collect:

• Your name, company name, and email address
• Your phone number, if provided
• The job name and project location, if provided
• Any services selected, which is optional
• A requested completion date, if provided
• Project scope and other relevant job information
• An HTTPS cloud-storage link and/or uploaded PDF documents
• Your confirmation that you agree to submit the information for review

A quote request must include either an HTTPS cloud link or at least one PDF. You may also provide information when contacting Polaris Drafting directly by email or phone.

Please submit only information and project documents necessary for the quote or requested work.

Information Processed Automatically

The website host may process standard request and security information, such as IP address, request time, browser information, and requested page.

The quote form uses limited rate-control data derived from the submitting IP address and email address to reduce abuse. The raw IP address and email address are not stored in those rate-limit counters. Rate-limit data expires after approximately one hour.

After submission, the form temporarily stores a random confirmation identifier and a success or error status. This information expires after approximately five minutes and does not contain the quote details.

How We Use Information

Polaris Drafting uses submitted information to:

• Review and respond to quote requests
• Evaluate project scope, documents, timing, and requested services
• Communicate about a potential or active project
• Perform drafting and coordination work when engaged
• Maintain the security and proper operation of the website and quote form

Polaris Drafting does not sell quote-form information, use it for targeted advertising, or add it to a marketing list without separate consent.

How Quote Documents Are Handled

Uploaded PDFs are placed temporarily in a non-public server location with restricted file permissions. They are attached to the quote email and deleted from that temporary server location immediately after the email-send attempt.

The quote form does not save a separate submission record in the WordPress database or add uploaded documents to the WordPress Media Library.

Copies of the message and attachments may remain in the systems of the website host, email-delivery provider, sender, and recipient mailbox according to their normal operation and retention settings.

An HTTPS cloud link is validated but is not automatically opened or downloaded by the quote form. Polaris Drafting may access or download files through a submitted link to evaluate the request or perform authorized work. Files stored through a cloud link remain subject to the settings and privacy practices of the cloud provider selected by the person submitting the link.

Service Providers and Disclosure

Hostinger currently hosts the website and may process website requests, temporary uploads, and hosting or security logs.

Email-delivery and mailbox providers process quote messages and attachments so they can be delivered to Polaris Drafting. If you submit a cloud link, your chosen cloud-storage provider also processes the linked files and may record access to them.

Polaris Drafting may disclose information when reasonably necessary to provide authorized services, protect the website, or comply with a legal obligation. Project information is not otherwise shared with third parties unless needed for authorized work.

Cookies, Analytics, and Advertising

The public quote-form workflow does not use browser cookies, local storage, or session storage to process submissions.

The website does not currently use analytics, advertising pixels, targeted advertising, or marketing-automation services. WordPress may use cookies for authorized administrators who sign in to manage the website.

Retention

Temporary uploaded PDFs are deleted from the web server immediately after the email-send attempt. Quote-form confirmation data expires after approximately five minutes, and rate-limit data expires after approximately one hour.

Quote emails, attachments, downloaded cloud files, follow-up communications, and project records are retained only for as long as reasonably needed to evaluate the request, communicate with the requester, perform authorized work, maintain appropriate business records, and resolve related issues. They are then deleted according to Polaris Drafting’s records practices.

Security

The quote form restricts uploads to validated PDF files, limits file sizes and quantities, uses non-public temporary storage, applies request validation and rate controls, and deletes temporary uploads after the email-send attempt.

No internet transmission, email system, or storage method can be guaranteed completely secure. Do not submit sensitive personal information that is unnecessary for the requested quote or work.

Your Choices and Requests

You may contact Polaris Drafting to ask about information held about you, request a correction, or request deletion. Requests will be handled as appropriate, subject to applicable contractual, security, legal, and recordkeeping needs.

You may also request a quote by contacting Polaris Drafting directly instead of using the website form.

Changes to This Policy

This Privacy Policy may be updated when website features, service providers, or business practices change. The revised policy will be posted on this page with an updated effective date.
